KāPix™ Privacy Policy

This Privacy Policy describes how ITIS Corporation (“ITIS,” “we,” “us,” or “our”) collects, uses, discloses, and safeguards information in connection with the KāPix™ Mobile application, including KāPix Core, KāPix LRS, and KāPix Sketch (collectively, “KāPix” or the “App”). This policy is a general baseline template intended for review by qualified legal counsel before publication, and should be adapted to reflect the specific terms of each deploying agency’s agreement with ITIS.

1. Who This Policy Covers

KāPix is deployed to law enforcement agencies, state Departments of Transportation, State Highway Safety Offices, and county or municipal public works departments (each, an “Agency”). Agency personnel (“Users,” such as officers or field staff) use KāPix in the course of their official duties, primarily to document motor vehicle crash scenes.

The Agency that deploys KāPix is typically the data controller for information collected through the App, and ITIS acts as the Agency’s data processor/service provider under the applicable agency agreement. Agency-specific terms, retention schedules, and data-sharing rules take precedence over this general policy where they conflict.

2. Information We Collect

2.1 Information Captured by Users in the Field

  • Identity and credential documents: driver’s licenses, passports, passport cards, military IDs, tribal IDs, non-driver state IDs, and commercial driver credentials, captured via photograph and processed with optical character recognition (OCR).
  • Vehicle and insurance documents: vehicle registrations, insurance cards, IRP cab cards, IFTA decals, and related commercial vehicle documents (VIN, plate number, policy number, carrier, coverage dates, etc.).
  • Crash scene data: scene and vehicle-damage photographs, and crash diagrams created in KāPix Sketch.
  • Location data: GPS coordinates and, where KāPix LRS is enabled, route name/ID, milepost, intersection identifiers, and distance/direction offsets derived from the Agency’s Linear Referencing System.

2.2 Information Collected Automatically

  • Device and app information such as device type, operating system, app version, and general diagnostic/error logs.
  • Authentication and access logs, including login events and administrative actions, for audit and security purposes.

KāPix does not access a User’s personal camera roll or photo gallery. Images and scans captured within the App are sequestered inside the App from the moment of capture and are never written to the device’s general photo library.

3. How We Use Information

  • To auto-populate crash report fields and reduce manual transcription by field personnel.
  • To calculate accurate crash location data (route, milepost, intersection, and offset information).
  • To transmit structured crash data to the Agency’s crash reporting system, Records Management System (RMS), or Computer-Aided Dispatch (CAD) platform via secure API.
  • To operate, maintain, secure, and improve the App, including troubleshooting and quality assurance.
  • To support required incident reporting, audit, and compliance obligations of the deploying Agency.

Data captured through KāPix is used strictly for the operational purpose of crash documentation and reporting for the deploying Agency. ITIS does not sell KāPix data, and does not share Agency data (including anonymized or aggregated data) with any third party outside of what is necessary to deliver the contracted service.

4. How Information Is Shared

  • With the deploying Agency’s own crash reporting, RMS, or CAD system, via open RESTful API in standard JSON format, as configured for that Agency.
  • With ITIS service providers and subprocessors strictly as needed to host, secure, and operate the App (e.g., U.S.-based cloud infrastructure providers), under confidentiality and data protection obligations.
  • As required by law, legal process, or to protect the rights, safety, or property of ITIS, an Agency, or the public.

ITIS does not use Agency or User data to train external or generalized AI models. Any AI-assisted processing (such as narrative generation in KāPix Sketch) is limited to operational use for the requesting Agency, with no third-party data sharing without approval.

5. Data Storage, Security & Retention

  • Data flows are encrypted using TLS 1.2+ in transit and AES-256 at rest.
  • Production data is hosted and processed within the United States, and can be configured to meet Agency-specific hosting requirements.
  • Access is controlled through role-based access control (RBAC) on a least-privilege basis, with authenticated, logged administrative access.
  • The App supports offline capture; unsynced data is stored securely on-device and syncs automatically once connectivity is restored.
  • Retention periods are configurable per Agency policy. Devices and accounts can be remotely wiped and access revoked immediately, supporting lost/stolen device scenarios and personnel changes.
  • Data destruction can be certified on request, consistent with the Agency’s records retention schedule.

6. Your Choices & Rights

Because KāPix is deployed by a government Agency for official law-enforcement or public-safety purposes, individual privacy requests (such as access, correction, or deletion of a specific crash record) are generally directed to and governed by the deploying Agency’s own public records and privacy procedures, rather than by ITIS directly. ITIS supports Agencies in fulfilling such requests where required by the underlying service agreement.

7. Children’s Privacy

KāPix is a professional tool used by Agency personnel in the course of their duties and is not directed to, or knowingly used by, children. Information about minors may appear within crash records (for example, as a party to a crash) and is handled with the same security and access controls described above.

8. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. Material changes will be communicated to deploying Agencies, and the “Effective Date” above will be updated accordingly.
